Booking Terms and Conditions – August 2020
The Contract for a short-term holiday rental will be between Parc-yr-Hebog Cottages Owners (referred to as "us" or "we") and the person making the booking and all members of the holiday party (referred to as "you" or "your") in the following booking conditions. UK law will govern the Contract. The contract of hire is not effective until we have processed the deposit or full payment and confirmed the booking in writing via a letter or confirmation sent by email or post. The contract will be subject to these booking conditions, and must be complied with. The party leader must be at least 18 years of age at the time of booking and the booking form must list names, addresses and ages of your party.
Payment
Bookings are confirmed (by us) on receipt of the booking form and the deposit of 30% of the holiday cost. The deposit must be paid within 3 days of the booking being placed. The balance of the rental will be due for payment 8 weeks prior to the holiday commencement date and we reserve the right to cancel a holiday where payment has not been received 8 weeks before the commencement date. If the booking is made within 8 weeks of the holiday start date the full rental will be required. If the booking is made within 7 days of the arrival date, full payment must be received within 24 hours of placing the booking. No entry to the property will be allowed without payment in full being cleared beforehand. Once you have submitted a booking form you are responsible for the full rental cost even if you subsequently cancel.
Cancellation
Cancellations must be immediately notified to us by phone and confirmed in writing (and you must receive confirmation of receipt from us).
Bookings placed after 1 August 2020 have Cancellation Protection cover under our Master Cancel policy if you cancel between 60 days and 2 days prior to arrival.
For the period from the date of booking to 2 days prior to Check-in
If you cancel up to and including 2 days before check-in date, you will receive a full refund of the lodging costs you have paid. Only lodging costs are refunded. Cancellations made 1 day prior to, or on the day of check-in will not be eligible for refund.
Example: for a check-in on Friday you could cancel the prior Wednesday and be reimbursed in full, but not on Thursday (1 day prior) or Friday (day of check-in).
For this reason, we strongly recommend you take out your own travel insurance for UK holidays which covers booking cancellations and will give you the peace of mind that you will get your money back if you need to cancel your holiday at the last minute. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
For the period 2 days prior to check in
The period for 2 days prior to Check in date and time is NOT COVERED by either of these cancellation policies, and no refund of any amount would be made under any circumstances. For this reason, we strongly recommend you take out your own travel insurance for UK holidays which covers booking cancellations. This will give you the peace of mind that you will get your money back if you need to cancel your holiday at almost the last minute. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
Bookings placed after 1 June 2020 and before 1 August 2020 have Cancellation Protection cover if you have to cancel due to coronavirus restrictions between 60 days and 2 days prior to arrival.
· If you cancel from 60 days up to and including 2 days before check-in date, you will receive a full refund of the lodging costs you have paid. Only lodging costs are refunded. Refund payment for cancelled booking will be released back to the cancelling guest on the scheduled date of check-out of the original booking. Cancellations made 1 day prior to, or on the day of check-in will not be eligible for refund. Example: for a check-in on Saturday you could cancel the prior Thursday before 16.00 and be reimbursed in full, but not on Friday (1 day prior) or Saturday (day of check-in). For this reason we strongly recommend you take out your own travel insurance for UK holidays which covers booking cancellations. This is available at very affordable rates, and gives you the peace of mind that you will get your money back if you need to cancel your holiday. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
· If you cancel 61 or more days before check-in date, we will endeavour to re-let the property for those dates. If we are able to re-let your dates, we will refund you the deposit amount (which may be less than you paid – e.g. if the final letting price was discounted or only some of the days are re-let) less an administration fee of £25. If we are unable to re-let you remain responsible for the deposit and there will be no refund under any circumstances. For this reason we strongly recommend you take out your own travel insurance for UK holidays which covers booking cancellations. This is available at very affordable rates, and gives you the peace of mind that you will get your money back if you need to cancel your holiday. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
· You will be reimbursed at check-out date of original booking.
Bookings placed before 1 June 2020 are not cancellation protected, meaning that if you cancel before the date the balance is due, and we are able to re-let your dates, we will refund you the deposit amount (which may be less than you paid – eg if the final letting price was discounted or only some of the days are re-let) less an administration fee of £25. If we are unable to re-let you remain responsible for the deposit and there will be no refund under any circumstances. You will be reimbursed at check-out date of original booking. From 56 days before check-in to the day of check-in, you remain responsible for the full rent and there will be no refund unless we are able to re-let your dates, in which case we will refund you all or part of the sum you have paid, depending on the value of the replacement booking, less a £25 administration fee. You will be reimbursed at check-in date of the original or replacement booking, whichever has the later arrival date. We would strongly advise that guests take out a travel insurance policy which covers booking cancellations. This is available at very affordable rates, and gives you the peace of mind that you will get your money back if you need to cancel your holiday. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
If you do not arrive by midday on the day after the start of your holiday failure on your part to inform us of this will constitute cancellation of the booking and we reserve the right to re let the property without further referral to yourself and without refund.
Cancellation Insurance
Cancellation Insurance is not compulsory but we strongly recommend such insurance to protect against the cancellation penalty.
Number of Guests Using the Property
Under no circumstances may more than the maximum number of persons stated in the brochure and the on web site occupy the property unless by prior arrangement. For clarity in The Barn this is 4 persons, The Cottage is 2 persons and in Morawen 4 persons. We reserve the right to refuse admittance if this condition is not observed. Any persons other than members of your party must not use the facilities at Parc-yr-Hebog Cottages.
If you wish to add to or change any members of your party or vehicles you should let us know, in writing, well in advance. Changes will be allowed at our discretion.
Force Majeure
If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure”) you will be refunded all monies paid to us. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
Period of Hire
The property will be available from 4:00pm on the commencement date, and you should leave by 10am on the day of departure. Failure to do so will result in you being charged a further day’s rental. You must not use the property except for the purpose of a holiday during the holiday period, and not for any other purpose or longer period. The agreement to stay in the property for the holiday period, does not create the relationship of Landlord and Tenant between the parties.
Bed Linen and Towels
All prices include heating, electricity, bed linen, tea towels and personal towels but not beach towels or cot linen (see below).
Babies
A travel cot, stair gate and high chair are available by prior arrangement. (The travel cot and high chair are suitable only for children of 2 years of age or younger and weighing under 30 pounds). We do not supply cot linen (including pillow and duvet) for babies in cots.
The Cottage is not suitable for babies or small children.
Care of the Property
You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair, and in the same clean and tidy condition at the end of the rental period as at the beginning. Smoking is not allowed in any of the cottages or inside any building onsite. You must not use the properties for any dangerous offensive or illegal activities and you will not cause annoyance or become a nuisance to fellow holidaymakers, tenants or neighbours of adjoining premises or land. If you fail to observe our terms and conditions we have the right to terminate your booking even if you are already at the property by asking you to leave at once without any compensation becoming payable to you.
Damage and Breakages
You must leave the property clean and tidy reporting any breakages or damage immediately to us, please do not leave this to your departure day as this may not allow us sufficient time to resolve the issue and could inconvenience the next guests. You are legally bound to reimburse us for replacement, repair or extra cleaning costs on demand. If you lose a key we will replace it on payment of the cost of cutting a new one.
Supply of Services
Guests should note that our rural position means that services such as water and electricity supplies can falter. In the event of interruption of supply every effort will be made to restore proper service as soon as possible.
WiFi
Wi-fi is provided for your reasonable use and you agree to reasonable and lawful use of this service.
Facilities
The Barn and The Cottage are located on a working smallholding and care should be taken when in close vicinity of our animals or farm equipment. In particular parents need to ensure that when children are near our animals or farm equipment they are safe and not left unattended.
Sauna
The Barn has its own sauna for the sole use of guests. We ask you to familiarise yourselves with the instructions and in particular to read the safety rules concerning the use of the sauna.
Right of Entry
We shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.
Pets
Sorry but we are unable to accept pets in The Barn or The Cottage. We do allow a maximum of 2 dogs in Morawen and only when they have been booked in and paid for.
Complaints
Every effort is made to ensure that your stay is as enjoyable as possible. However, If you have any problems or concerns during your stay we ask you to contact us immediately in order that we may assess the situation and put things right if necessary. Under no circumstances will compensation be made or correspondence entered into in connection with complaints raised after the property has been vacated unless we have been properly notified during your occupancy.
Liability
Parc-yr-Hebog Cottages, its employees and its representatives shall not be liable to you or your party's for loss or damage to property howsoever arising. You must take all necessary steps to protect and safeguard your personal property.
Data Privacy Statement
We treat any data collected during the course of making bookings or dealing with enquiries in strict confidence. Your data will never be sold. As members of Premier Cottages (a marketing collective of the best four and five star cottages in the UK) we have agreed to supply to Premier Cottages Ltd the names postal and email addresses of all guests booking with us during the previous year in order that these guests can receive a Premier Cottages brochure and sent promotional emails from time to time. We also provide them with the email addresses of guests enquiries. By accepting these terms and conditions you are indicating your consent to receiving these communications unless you let us know otherwise.
